Put every decision in one communication system

International abaya production becomes difficult when the supplier receives a measurement chart by email, artwork in a chat, quantities in a spreadsheet, and a delivery change during a call. Create one shared order brief with style numbers, approved references, fabric, colours, measurements, decoration, labels, quantities, packing, destination, and required date. Link every message to that brief and state which version is current.

Use clear file names and owners

Escalate with facts

When a risk appears, send the SKU, revision, issue, photos, affected quantity, proposed options, cost or date effect, and decision deadline. Do not bury the problem under blame or a long unrelated thread. A late trim shipment, shade mismatch, or measurement issue can then be triaged by the right person. Keep a change log that records accepted, rejected, corrected, or held outcomes.

Close the communication loop

Before production, both sides should be able to identify the approved sample, measurement table, material, artwork, labels, quantity, packing, inspection point, and destination contact. At dispatch, confirm carton count and documents from the same record.

Publish a weekly status view

At the end of each week, circulate a one-page status summary listing approved styles, open questions, blocked operations, upcoming decisions, and shipment assumptions. Invite corrections by a fixed deadline, then archive the accepted version. This gives international teams a shared view even when people work different hours and reduces the chance that a silent assumption reaches cutting.
