Order samples that answer commercial questions
A useful abaya sample order is not a request for random colours or the factory's easiest styles. It should test the decisions most likely to affect the launch: silhouette, fit, fabric, opacity, colour, embellishment, construction, labels, and packing. List each sample by style code and state whether it is a fit sample, material sample, decorated panel, pre-production sample, or content sample. This distinction avoids treating every garment as though it has the same approval purpose.
Describe the sample request
For each abaya, provide front and back references, measurements, length, sleeve, opening, closure, pocket, lining, fabric, colour, decoration, label position, and intended occasion. Include the body or garment measurements the sample should represent. If a reference image is inspirational rather than exact, say so. State which alternatives are acceptable and which are not. The clearer the request, the less time is spent correcting assumptions that could have been resolved on paper.
Ask for material and decoration evidence
Request a fabric swatch with composition, shade, width, hand feel, opacity, care, and any lining or interfacing. For embroidery, beadwork, stones, lace, or handwork, request a strike-off or decorated panel before approving an all-over treatment. Inspect scale, placement, density, attachment, weight, reverse comfort, and pressing limits. A panel may reveal that a design is visually right but too heavy for the intended drape, which is precisely what sampling should discover.
Review the garment in a fixed order
Start with identity and colour, then compare measurements and tolerances. Put the sample on a wearer and check standing, sitting, walking, reaching, layering, sleeve reach, hem, opening, pockets, and opacity. Inspect seams, hems, closures, inside finish, loose threads, pressing, label, and packing. Photograph each issue beside a ruler or swatch. Use a revision sheet with columns for finding, requested change, owner, date, and approval status.
Define the bulk standard
The approved sample should be accompanied by the graded measurement chart, material card, artwork, label files, care information, size curve, quantity table, packaging instructions, and inspection checklist. Mark tolerances where exact measurement is impractical. Identify which variations are acceptable in handwork and which are defects. Ask the manufacturer to confirm how the first production pieces will be checked and what happens to units that fail.
Include a comparison sample when useful
If fabric hand or length is uncertain, request two controlled alternatives and review them under the same conditions. Label each clearly and record why one was chosen. A small, purposeful comparison is more valuable than ordering many unconnected samples that create opinions without a decision.
Make approval a release decision
Do not approve because the sample is close enough if the open difference affects fit, shade, decoration, or customer promise. Record accepted changes and request a revised sample when necessary.
